Privacy policy

How East Coast Traffic Control collects, stores, uses and discloses personal information through this website, and how to ask for access or deletion.

Who we are and what this policy covers

East Coast Traffic Control (ECTC, "we", "us") respects the privacy of the people we deal with. We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles, and this policy explains what personal information we collect through eastcoasttrafficcontrol.com.au, how we hold and use it, who we share it with, and how you can access or correct it. It applies to the website only. Employment records for people we hire are covered by our workplace policies.

Personal information means information or an opinion about an identified individual, or an individual who is reasonably identifiable, whether or not it is true and whether or not it is recorded in a material form.

What we collect and why

We collect personal information only when you give it to us through a form on this site, call us or email us. What we collect depends on the form:

  • Quote, booking, contact, planning and scoping forms: your name, email, phone, company, site location, dates and details of the works, so we can price and schedule the job and reply to you.
  • Employment questionnaire: your name, email, mobile, location, licences held and how long, availability, travel, transport, work history, an optional message and an optional CV file, so we can assess your application and refer it to the Area Manager for your region.
  • Course interest form: your name, email, mobile, location and message, so we can note your interest for the depot nearest you.
  • Phone and email enquiries: whatever you tell us, used to answer the enquiry.

How website forms are handled

Forms on this site are submitted to ECTC's website service, which runs on Cloudflare infrastructure. Each submission is stored in a database and emailed to the relevant ECTC staff (for example the sales, planning or recruitment team). The page you submitted from is recorded with the submission so we know which service you were looking at.

Employment applications are also stored in that database, and any CV file you attach is stored in secure file storage. The application and a link to the CV are passed to ECTC's recruitment system, which is operated for ECTC by its marketing services provider, so that the application can be routed to the Area Manager for your region. ECTC staff and that provider's authorised personnel are the only people with access.

All forms are protected by Cloudflare Turnstile, which checks that a submission comes from a person rather than an automated script. Turnstile may process technical information about your browser and device for that purpose; it does not show you puzzles in most cases.

Who we share information with

We do not sell personal information. We share it only as needed to deal with your enquiry or application:

  • ECTC staff and Area Managers in the region relevant to your enquiry or application.
  • Service providers that host or operate our website, database, file storage, email delivery and recruitment system on our behalf, under confidentiality obligations.
  • Selected registered training organisations, only if you ask us to refer you to a course provider.
  • Where the law requires or permits disclosure.

Analytics, advertising and cookies

This website uses Google Analytics 4 to understand how visitors use the site, Google Ads conversion measurement to see which advertising brings enquiries, and the Meta (Facebook) pixel for the same purpose on Meta platforms. These tools set cookies and collect technical information such as your device, browser, pages viewed and approximate location. Google and Meta process that information under their own privacy policies and may use it for their own purposes, including ad measurement across other sites.

You can block or delete cookies in your browser settings and use the opt-out tools Google and Meta provide. The site will still work, though some analytics will not record your visit. We do not use cookies to identify you by name.

How we protect information

We take reasonable steps to keep personal information secure: form data is transmitted over encrypted connections, stored on infrastructure with access controls, and accessible only to staff and providers who need it to do their job. CV files are stored in access-controlled storage and shared internally through time-limited links. Physical records at our depots and head office are secured, and our systems use current security software.

How long we keep information

We keep personal information for as long as we need it for the purpose it was collected, and as long as the law requires us to keep records. Quote and enquiry records are kept for our business records. Employment applications are kept so that we can contact you if work becomes available in your region; you can ask us to delete your application at any time.

Direct marketing

If you have asked to hear from us or consented to it, we may send you information about our services by email, SMS or post in accordance with the Spam Act 2003 (Cth). You can opt out at any time by using the unsubscribe link in a message or by contacting us through the contact page.

Access, correction and deletion

You can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it. Send your request through the contact page or to sales@ectc.com.au. We may ask you to verify your identity before acting on a request, and we will respond within a reasonable time. If we cannot delete something because we are required to keep it, we will tell you why.

Complaints

If you believe we have mishandled your personal information, contact us first and we will investigate and respond, usually within seven days. If you are not satisfied with our response you may complain to the Office of the Australian Information Commissioner at oaic.gov.au.

Changes to this policy

We may update this policy as our website and systems change. The current version is always the one published on this page, with the date it was last updated shown above.
